At RecTimePro we use artificial intelligence (AI) tools to assist in managing the enquiries we receive through our contact form. We believe that you have the right to know when and how this technology is involved in our communication with you, and to that end we are publishing this policy.
1. What we use artificial intelligence for
The use of AI in RecTimePro is currently limited to two specific functions within the process of handling messages received via the web form:
- Message classification. An automated system analyses every message received and classifies it according to its nature (query, urgent request, test message, spam, etc.). This allows us to detect automated submissions and prioritise genuine queries.
- Drafting a response. The system proposes a draft response to your query, which serves as a starting point for our team.
We do not use artificial intelligence to make decisions regarding the contracting of services, the preparation of budgets, the setting of prices, or to evaluate, profile or score individuals who write to us.
2. No response is sent automatically
This is the most important point of this policy: no AI-generated email is sent without first being expressly reviewed and approved by someone on our team.
The system stops after drafting and waits for a human decision. No communication addressed to you will be sent until a team member approves the dispatch. The human review is not a subsequent check; it is a mandatory step in the process.
3. How will you identify a response generated by AI
Every email that incorporates a response drafted with the assistance of artificial intelligence includes, visibly at the foot of the message, the following notice:
This response was generated with the help of artificial intelligence and reviewed by our team before being sent.
Likewise, if you ask directly whether you are communicating with an automated system, you will receive an honest answer: under no circumstances will the system claim to be a person or deny the use of artificial intelligence.
4. What data is processed and with which suppliers
To provide this service, the data you provide in the contact form—name, email address, telephone number and the content of your message—together with certain technical connection data—IP address, device type and approximate location derived from the IP—are communicated to technology providers acting as data processors on behalf of RecTimePro.
Some of these providers are located outside the European Economic Area, so the processing involves an international data transfer, carried out with the safeguards provided for in current regulations. You can consult the details of the providers, the purposes and the legal bases in our Privacy policy.
In order to minimise the data processed, the system that drafts the response does not receive your name or your email address: these details are used solely, and outside the scope of artificial intelligence, to address the message to you.
5. Supervision, limitations and liability
Artificial intelligence is a support tool and may make mistakes or generate inaccurate information. For this reason, and because all communications are subject to human review, Responsibility for the content of the communications you receive rests entirely with RecTimePro, regardless of whether this technology was used in its production.
If you find any information in our communications that you consider to be incorrect, or if you wish for your query to be handled without the intervention of automated systems, you can let us know and we will deal with your request.
6. Your rights
You may exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, as well as request additional information about the use of these tools, by writing to hola@rectimepro.com.
7. Updates to this policy
This policy will be reviewed whenever there is a relevant change to the tools used or the purposes described. The date of the last update is shown below.
